How I Built a Lead Intelligence Agent That Calls Your Leads Automatically

A technical walkthrough of the lead intelligence agent I built using n8n and Vapi — from form submission to autonomous outbound call to database storage, with zero human intervention.

1. The Problem with Manual Lead Follow-Up

Most businesses lose leads not because the product is bad — but because follow-up is too slow. Studies show that responding to a lead within 5 minutes is 9x more effective than responding within an hour. Most businesses respond in hours or days. I built this agent to solve that problem: the moment a form is submitted, the agent calls the lead. Automatically.

2. The Architecture: n8n + Vapi

The agent is built on n8n. When a website form is submitted, a webhook triggers the workflow. n8n extracts the lead data (name, email, phone, enquiry type) and passes it to Vapi, which initiates an outbound AI voice call to the lead's phone number. The AI introduces itself, gathers additional information from the lead through a structured conversation, and ends the call. All data from the form and the call is then stored in a connected database.

3. What the AI Says on the Call

The voice agent is prompted to introduce itself as an assistant, confirm the lead's enquiry, ask a few qualifying questions (budget range, timeline, specific needs), and thank the lead before ending the call. The conversation is designed to feel natural and professional — not robotic. Vapi handles the voice synthesis and speech recognition, while n8n manages the logic and data flow around it.

4. Results and What I'd Build Next

The agent eliminates the need for a human to make the first contact with every new lead. It runs 24/7, responds in seconds, and stores everything in a structured format ready for human review. The next evolution would be adding a follow-up email agent that sends a summary and next-steps email after the call — closing the full loop without any human involvement until it's time to close the deal.
