Problem :
Most businesses lose leads not because of a bad product — but because follow-up is too slow. Responding to a lead within 5 minutes is dramatically more effective than responding hours later. Most businesses respond in hours or days. This agent was built to close that gap: the moment a form is submitted, the lead gets a call. Automatically.
Solution :
Built on n8n, the agent triggers the moment a website form is submitted via webhook. It extracts the lead's data, passes it to Vapi which initiates an outbound AI voice call, conducts a structured qualifying conversation, and ends the call. All data — from the form and the call — is written to a connected database, ready for human review and follow-up.
Challenge :
The voice conversation needed to feel natural and professional, not robotic. Prompt engineering the Vapi agent to handle unexpected responses, maintain conversation flow, and extract specific qualifying information without sounding like a script was the most nuanced part of the build. Getting the handoff between n8n logic and Vapi voice seamlessly right took several iterations.
